• Account details: name, email address, phone number, role and the organisation you belong to.
• Customer and vehicle information that you or your colleagues enter, such as names, contact details, registration numbers and VINs.
• Workshop records: job cards, inspection and defect photos, signatures, bookings, quotes, invoices, accounting and inventory records.
• Technician profiles (technician accounts): name, photo, skills, certifications, contact details and ratings given by garages.
• Login credentials (passwords are stored only in hashed form) and one-time verification codes.
• Basic technical information needed to run the service securely, such as device type, operating system version, app version and language.

2. How We Use Your Information

• To run workshop workflows such as job cards, bays, bookings, customers, invoices and accounts.
• To sign you in, control access by role and keep accounts secure.
• To fix problems and keep the service reliable.
• To send service emails, such as verification codes and job card or booking notifications.
• To comply with legal, tax and security obligations.

3. Data Storage & Security

We use industry-standard security measures to protect your data, including hashed passwords, token-based authentication, encrypted connections (HTTPS), secure cloud storage on Amazon Web Services, input validation and access logging. Your organisation’s records are visible only to its own authorised users and, for a specific job card or booking, to a technician your organisation assigns to it.

4. Sharing of Information

We do not sell or rent your personal information. Information is shared only:

• Within your organisation, according to the roles your administrator assigns.
• Technician profiles: if you register as a technician, your profile (name, photo, skills, certifications and contact details) is visible to garages using JobCard so they can find you and assign work.
• With service providers that run the service for us: Amazon Web Services (hosting, file storage and email), Apple (App Store purchases) and Stripe (web payments).
• When required by law, or to prevent fraud or misuse.

5. Cookies & Tracking

The JobCard website uses only essential cookies and local storage to keep you signed in and remember your preferences. The mobile apps do not use cookies, advertising identifiers or third-party analytics. We do not track you across other companies’ apps or websites.

6. Camera & Photos

The apps ask for camera and photo library access only when you use a feature that needs it: inspection, defect and receipt photos, scanning a VIN plate, or setting an organisation logo or profile photo. You can change these permissions at any time in your device settings.

7. Data Retention & Account Deletion

We keep your information while your account is active. You can delete your account at any time in the app (Profile → Delete account). This deletes your account and personal data. If you are the last member of your organisation, or you choose to delete the organisation, its job cards, customers, vehicles, bookings, photos and other records are deleted too. Deleting a technician account removes the technician profile. Payment and tax records may be kept for as long as the law requires, without personal details that are not needed for that purpose.

8. Your Rights

• Request access to the information we hold about you.
• Correct or update inaccurate information.
• Delete your account and data in the app, or by contacting us.
• Withdraw consent for specific uses, such as camera or photo access.

9. Third-Party Services

The providers listed above process information only to deliver their part of the service and follow their own privacy policies. JobCard does not include advertising or third-party analytics software.

10. Updates to This Privacy Policy

We may update this policy from time to time. We will show the updated policy in the apps and on the website, and continued use after an update means you accept the revised policy.
